For solo agents who work open houses

The sign-in sheet, already followed up.

Photograph your open house sign-in sheet. Every visitor gets a personal follow-up email, drafted and waiting for your approval before you pull out of the driveway.

Plain email from your own address. You approve every send.

You worked the room. Then Monday happened.

Every agent knows the drill. A great open house, a full sign-in sheet, then a week of showings, closings, and life. By the time you get back to that sheet, those visitors have toured four other homes.

48h

That is roughly how long a lead stays warm. The people on that sheet are talking to whoever reaches them first, and it usually isn't the agent who met them.

Specific

Fast and generic loses. Fast and specific wins. “Nice to meet you” gets deleted. “Since the yard caught your eye” gets a reply.

Notes

The notes column is the most valuable thing on the clipboard. “Loved the yard.” “Pre-approved, 3bd.” Almost nobody ever uses it. That is the whole product.

From clipboard to inbox in three steps.

1

Snap the sheet

Photograph the sheet in the driveway, messy handwriting and all. Or screenshot the notes you typed on your phone. We pull every name, email, and scribbled note off it.

~10 seconds
2

Review the drafts

One email per visitor, built from what they told you at the door and written in the tone you picked. Edit anything, or send as is.

~2 minutes
3

Send before you're home

Approve, and the emails go out from your address while the house is still fresh in their minds. You get there first.

Same afternoon

Pick a tone. Every draft follows it.

Four tones, one setting per open house. Switch between them here. The words change, the facts stay yours.

  • The notes column becomes the opening line, not a mail merge field.
  • Edit any line, swap the tone, redraft. It’s a starting point.
  • Nothing sends until you approve it, and it goes from your own address, so there’s no new inbox and no texting rules.

Marcus, Iris, great meeting you both at Maple Ave today.

You mentioned you’re thinking about selling in Elm Park before your next move. Three homes within four blocks of yours closed this spring, and I think the numbers would genuinely surprise you.

Want me to pull a quick valuation this week? No pressure either way. Happy to just send the comps.

Tone: Warm · Drafted 12 minutes after the open house ended

The short answers.

What if the handwriting is a disaster?

That is the job. Cramped columns, half-finished emails, “loved the yard!!” in the margin. Anything it cannot read with confidence gets flagged for a five second fix. It never guesses.

What if I don't use paper?

Plenty of agents type visitors into their phone at the door. Screenshot your Apple Notes and upload it. Same result: a personal email per visitor, from your address, referencing what they said.

Is this texting? Do I need a compliance registration?

No. It is plain email from your own address. No SMS rules, no carrier registration, nothing to set up beyond connecting your inbox.

Do I have to switch CRMs?

No. This is not a CRM. It is the one step that never happens. Keep what you use today and export visitors to it whenever you want.

Will buyers know it's automated?

They will know you remembered the yard. Every draft comes from what they actually told you, in the tone you picked, and it only goes out after you approve it.
